This Privacy Policy describes how Polar Express, LLC (“Company,” “we,” “us,” or “our”) collects, uses, stores, processes, shares, and protects information when you access or use our mobile application, website, and related services (collectively, the “Service”).
This Privacy Policy forms an integral part of the Service Agreement. By creating an account or using the Service, you acknowledge that you have read, understood, and agreed to the practices described herein.
1. Information We Collect #
We collect personal and non-personal information only as necessary to provide parcel forwarding, warehouse handling, logistics coordination, customs compliance, billing, security, and customer support.
1.1 Account and Authentication Information #

- Encrypted password or authentication credentials
- First name, middle name, last name
- Phone number
1.2 Address and Recipient Information #
- First name, middle name, last name
- Phone number
- Country, region/state, city
- Street name, house number, building number, apartment or unit number
- Postal or ZIP code
1.3 Identification and Compliance Information #
Where required by customs authorities, logistics partners, payment providers, or applicable law:
- Passport series and number
- Passport issue date and issuing authority
- Images or scans of passport identification pages
- Tax identification number
1.4 Parcel, Shipping, and Logistics Information #
- Originating shop or merchant
- Tracking numbers
- Parcel identifiers or names
- Delivery addresses
- Shipping preferences and delivery instructions
- Warehouse handling status, consolidation details, and shipment history
1.5 Customs and Item Declaration Information #
- Item descriptions
- Quantity, weight, and declared price
- Invoice numbers and invoice URLs
- Item attributes (e.g., color, size, target price, target quantity)
- Promo codes
1.6 Communications #
- Customer support requests and support ticket data
- Emails, messages, feedback, and inquiries
- Claim/dispute communications related to parcels or shipments
1.7 Device, Diagnostics, and Usage Information #
When you use the Service, we may collect or receive:
- Device type and device identifiers (where available)
- Operating system and app version
- App usage statistics and interaction data (in anonymous, aggregated, or pseudonymized form where possible)
- Log files, error reports, and crash diagnostics
- Approximate location data derived at a country or region level (e.g., from network signals), not precise GPS location
1.8 Additional Data Consistent With the Service #
We may collect additional information of the same general types described above when required to:
- provide requested features,
- operate and secure the Service,
- comply with legal obligations, or
- prevent fraud, abuse, or misuse.
Where required by law, we will provide additional notice or obtain consent.
2. Transaction and Billing Information #
All payments are processed outside the application by third-party payment service providers. We do not store full payment card numbers or sensitive payment credentials (such as CVV).
We may receive limited transactional metadata, such as:
- Transaction identifiers
- Payment status
- Timestamps
- Payment amounts
- Payment method type (e.g., card, PayPal) and limited processor-provided references
3. How We Use Information #
We use information to:
- Operate, maintain, and secure the Service
- Authenticate users and manage accounts
- Create, receive, store, consolidate, and ship parcels
- Complete customs declarations and regulatory requirements
- Process billing events, payment confirmations, refunds, and chargeback handling where applicable
- Provide customer support and service communications
- Manage notifications you enable in the app
- Detect, prevent, and investigate fraud, abuse, or security incidents
- Improve Service performance, reliability, and functionality
- Comply with legal and regulatory obligations and enforce our agreements
4. App Tracking Transparency #
We do not use personal data for cross-app or cross-site tracking as defined by Apple’s App Tracking Transparency (ATT) framework.
We do not track users across third-party apps or websites for advertising, profiling, or marketing purposes, and we configure third-party SDKs to avoid cross-app tracking for advertising.
5. Third-Party Service Providers #
We use third-party vendors to support payment processing, error monitoring, analytics, and infrastructure. These providers process information in accordance with their own privacy policies and our agreements with them.
We configure analytics and diagnostics tools to avoid collecting direct identifiers such as names, email addresses, phone numbers, shipping addresses, passport details, or payment credentials.

6. Data Sharing and Disclosure #
We may share information only:
- With service providers acting on our behalf (e.g., infrastructure, payments, diagnostics)
- With warehouses, carriers, logistics partners, and customs authorities as required to fulfill shipments and comply with law
- To comply with applicable laws, regulations, court orders, or lawful requests
- To protect the rights, security, and safety of the Company, its users, or others
- In connection with a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets (in which case we will require appropriate safeguards)
We do not sell personal data.
7. Data Storage and International Transfers #
Personal data is stored and processed on Company-controlled infrastructure and approved service providers’ systems.
Because we operate internationally and work with service providers and logistics partners, information may be processed in jurisdictions where we or our providers operate, including the United States and the European Union, as required to provide the Service or comply with law.
International Data Transfers and Safeguards #
Where personal data originating from the European Economic Area or the United Kingdom is transferred to countries that do not provide an adequate level of data protection, such transfers are conducted pursuant to Standard Contractual Clauses approved by the European Commission or other lawful transfer mechanisms recognized under GDPR.
8. Data Retention #
We retain information only for as long as needed to provide the Service and to comply with legal, accounting, tax, customs, carrier, and fraud-prevention requirements.
- Operational and legally required records are retained. This includes, without limitation: parcel and shipment history, warehouse handling records, customs declarations and compliance documentation, invoices and related metadata, billing transactions (including payment confirmations, refunds, chargebacks), claims/disputes, fraud-prevention logs, and support tickets/communications.
- Limited personal information may be removed as described in Section 9. Removing that limited data does not delete or alter operational/legal records, which must remain intact.
9. Data Deletion and User Rights #
Users can request deletion of eligible personal information through the application.
9.1 What We Delete Immediately #
When you submit a deletion request, we immediately delete the following eligible personal information associated with your account, to the extent it is not required to be retained by law or to enforce Section 9.3:
- Password / authentication credentials (as applicable)
- Phone number
- Address book data, including saved addresses and recipients
This deletion is permanent.
9.2 What We Do Not Delete #
We do not delete data that we must retain for legal, regulatory, operational, accounting, customs, carrier, payment, dispute-resolution, or fraud-prevention purposes. This includes, without limitation:
- Parcels, shipments, warehouse handling, and delivery history
- Customs declarations, compliance records, and required documentation
- Billing transactions, invoices, payment confirmations, refunds, and chargebacks
- Claims, disputes, investigations, and fraud prevention/resolution records
- Support tickets and related communications
9.3 Email Re-Registration Policy After Deletion #
If you request deletion, your account is permanently closed and you will not be able to re-register using the same email address again. We keep the email address in a restricted form (e.g., as a blocked identifier) solely to enforce this rule and to help prevent fraud and abuse. This means the email address may be retained in a restricted/hashed form and will not be removed as part of deletion.
9.4 Your Rights #
Depending on applicable law, you may have the right to:
- Access your personal data
- Correct inaccurate or incomplete data
- Request deletion of eligible personal data as described above
- Restrict or object to certain processing activities
- Request data portability where applicable
10. Data Security #
We implement reasonable technical and organizational measures designed to protect personal data, including:
- Encryption of data in transit
- Access controls and role-based permissions
- Monitoring and logging of system activity
No method of transmission or storage can be guaranteed to be completely secure.
11. Children’s Privacy #
The Service may be used by individuals who have a valid passport and who are permitted to use the Service under applicable law.
We do not knowingly collect personal data from children where parental consent is required by law. If we learn that we have collected personal data from a child without required consent, we will take steps to delete it promptly, unless we are required to retain certain information for legal, regulatory, fraud-prevention, dispute-resolution, or security purposes.
12. Changes to This Privacy Policy #
We may update this Privacy Policy at any time. Updates become effective upon publication. Continued use of the Service constitutes acceptance of the revised policy.
